
Gala season is here. 🌸
And every year, nonprofits leave thousands of dollars — and dozens of relationships — on the table.
Not because the event wasn't good. Because of what happens in the 48 hours after.
Here's what I see happen constantly:
You spend months planning the perfect gala. The room is full. The energy is electric. You pre-seeded gifts. The ask was perfect. People are leaning in, talking to board members, whispering, "I think I want to get more involved."
And then... a generic thank you email lands in their inbox three days later.
The moment is gone.
I was at an event recently that genuinely moved me. I was this close to joining at a deeper level. I had conversations with members, felt the pull of the mission. And then life happened. I got busy. The window closed.
That organization had a 48-hour golden window to invite me in.
I’ve made these mistakes too. It started with one organization, where I realized we had shockingly low retention rates of new people who came to our events, despite their overall success. Long-term engagement and retention numbers increased when we had a post-event communications plan.
Here is the post-gala communication strategy most orgs are missing:
1. Segment your audience before the event, not after. Segment your audience before the event, not after. Table hosts, first-time guests, recurring donors, and almost-givers all need different messages. Those who are new should get a welcome series. One thank-you email to everyone is not a strategy.
2. Write the emails before the gala. Your team will be exhausted after the event (rightfully so). Build the emails in advance and set them to send automatically. Let the warmth land while you're still processing donations and sleeping.
3. The 48-hour window is real. People are emotionally activated right after an inspiring event. That is the moment to send an invite for deeper engagement. Invite to become a member, join a meeting, or volunteer.
4. Make your table hosts feel like VIPs — because they are. These people organized their social capital for you. Send this group a personalized email celebrating what you accomplished together. Make them feel a part of the team. That's how you get them to do it again next year.
The gala is the moment. The follow-up is the movement.
Don't let the energy you worked so hard to build just...evaporate.
